Scheduled Reports

Email recurring visibility reports and save them as PDFs.

Scheduled reports email a visibility summary to a recipient list every week or every month. Each email links to a printable report page that anyone can save as a PDF, so stakeholders get the numbers without needing a Citlyze login.

Create a schedule

You need admin access in the workspace to manage schedules.

  1. Go to Workspace settings and find the Scheduled reports card.
  2. Click New schedule.
  3. Under Report content, pick the sections to include (at least one):
    • Headline metrics: Brand Visibility, rank, citation rate, prompts, and the per-engine split.
    • Competitor share of voice: ranked visibility comparison against tracked competitors.
    • Top cited sources: the domains AI answers cite most for your prompts.
  4. Pick a Cadence: Weekly (then choose the weekday under Send on) or Monthly (1st).
  5. Add Recipients: comma- or newline-separated, up to 20 addresses.
  6. Click Create schedule.

Each schedule row shows the cadence, recipients, included sections, the next send date, and when it last sent.

Send a test report

Below the schedule list, enter an address under Send a test report and click Send test. The test uses the sections and cadence currently selected in the form, so you can check the layout before the first real send.

View, pause, or delete a schedule

  • View report opens the current printable report in a new tab; use your browser's print dialog to save it as a PDF.
  • Pause and Resume toggle a schedule without losing its settings.
  • The delete action stops the schedule immediately and cannot be undone.

Deliver to Slack or Microsoft Teams

When a notification webhook is configured, scheduled reports also post to that channel in addition to email.

Brand the report

On plans that include white-label branding, the Report branding card in workspace settings lets you put your own logo, accent color, and company name on scheduled reports, report downloads, and GEO audit reports:

  • Logo URL: a PNG or SVG on a public https URL.
  • Accent color: a hex color used for charts and buttons in reports.
  • Company name: replaces Citlyze in report footers and next to your logo.

New reports use saved branding right away.

Plan availability

If your plan does not include scheduled reports, the New schedule button is disabled and the card shows an upgrade note. See Plans and limits.
